Firm Cancellation Policy

Our Cancellation Policy is firm. Before committing to a course, workshop, or retreat, please ensure you can attend the in-person dates to get the most from your investment.

Refunds or transfers cannot be offered outside the stated Terms & Conditions and Cancellation Windows. This applies in all circumstances, including illness, injury, work, family commitments, travel disruption, or any other reason for non-attendance.

Transfer to Another Student

• By You: If you cancel outside the cancellation window, no refund will be given. However, you may transfer your booking to another participant at no additional cost. This arrangement must be organised by you, and you must notify Spiral Syllabus/Karen Kirkness in writing with the new participant’s details.

• By Spiral Syllabus/Karen Kirkness: If the event is full and we are able to transfer your place to a waitlisted client, you may choose either:

  1. A refund less a 25% administration fee, OR

  2. A credit of the full amount to your Spiral Syllabus account, valid for 12 months.

Non-completion

If a participant does not complete a training course for any reason, Spiral Syllabus cannot provide certification or graduated status. Course and event fees are non-refundable in such cases.

Teacher Availability

If a teacher is unable to deliver a scheduled training session or retreat due to illness or emergency, we will make every effort to provide a suitable replacement teacher. For retreats in particular, participants are strongly advised to obtain personal travel insurance to cover transport, accommodation, and other costs, as Spiral Syllabus cannot issue reimbursements beyond the scope of this policy.

Certification & Attendance Requirements

To be awarded a Training Certificate from Karen Kirkness / Spiral Syllabus, trainees must attend 100% of the required in-person training hours.

• If full attendance is not achieved, only a Certificate of Attendance will be issued, reflecting the actual number of hours completed.

• Requests to arrive late, leave early, or otherwise reduce contact hours cannot be accommodated, as this compromises both your learning and the integrity of the training.

• Where absence is unavoidable, please refer to the Make-Up Policy for guidance on how missed hours may be addressed.

We encourage all trainees to plan ahead and manage their commitments to ensure full participation and successful certification.

Missed Training Days & Makeup Policy

We understand that unforeseen circumstances may occasionally prevent a trainee from attending a scheduled training day. To maintain the integrity of the training and ensure all required hours are completed, the following policy applies:

Attendance at a Future Course (Subject to Availability)

• If there is space in a corresponding future course covering the same content, it may be possible for the trainee to attend that day as a makeup.

• This option is not guaranteed and is dependent on availability.

• Where approved, the trainee is responsible for arranging and paying the makeup day fee of £50.

1:1 Tuition to Make Up Hours

• If attendance at a future course is not possible, required hours may be made up through 1:1 tuition with an approved teacher.

• Fees for 1:1 tuition are:

  • £85 per hour (minimum booking of one hour).

All makeup arrangements must be completed within the timeframe specified for the course in order to meet certification requirements.

Spiral Syllabus / Karen Kirkness operate a zero-tolerance policy for abuse. If your behaviour is deemed abusive, you may be asked to leave the course immediately, in which case neither a Certificate nor a refund will be issued.
